Depending on how you use Vacaan, we may process:

• Contact form: name, email address, phone number (optional), subject, and message.
• Account data: if you create an account: name, email address, and preferences such as country and language.
• Usage data: page views, vacancy clicks (for example when you click “Apply”), searches, and filter settings.
• Technical data: IP address, browser type, device, and session information.
• Cookie preferences: your choice regarding analytics cookies.
• Company data: company name, logo, website, industry, company description, and vacancy information displayed on Vacaan.

Company and vacancy data may come from employers, ATS integrations, XML feeds, or other publicly available sources. Vacaan does not collect special categories of personal data via the contact form. Please do not submit sensitive information unless strictly necessary.

We process personal data for the following purposes:

• Displaying and redirecting job listings.
• Responding to contact form enquiries.
• Managing user accounts and employer functionality.
• Improving our website, search, and user experience.
• Measuring website usage, only after your consent for analytics cookies.
• Displaying and managing company profiles and vacancies published on Vacaan via feeds or other sources.
• Handling requests from companies to correct or remove their data.
• Complying with legal obligations.

We process data based on:

• Consent — for example, analytics cookies.
• Contract or pre-contractual steps — for account use or employer services.
• Legitimate interest — for security, fraud prevention, service improvement, and handling contact requests.
• Legal obligation — where required by law.

We do not keep data longer than necessary:

• Contact form messages: up to 12 months, unless a longer period is needed for follow-up.
• Account data: while your account is active, then up to 24 months.
• Analytics data: according to our analytics provider settings (default up to 14 months).
• Log and security data: up to 12 months.

We do not sell your data. We may share data with processors that help us deliver the service, such as hosting, email, and analytics providers. We use data processing agreements with these parties.

When you apply for a vacancy, you leave our website and the employer or vacancy source privacy terms apply.

Some providers (such as Google Analytics) may process data outside the European Economic Area. Where this happens, we rely on appropriate safeguards such as EU Standard Contractual Clauses.

Vacaan displays vacancies and company information that may come from external sources such as job feeds, ATS systems, employer websites, or other publicly available sources. Company names, logos, descriptions, and vacancy text may be collected and published automatically.

A listing on Vacaan does not mean that Budion has a partnership, employment relationship, or endorsement with the company concerned, unless explicitly stated.

Companies may request correction or full removal of their company profile, logo, and/or vacancies. See also Removal and taking content offline in our terms of use.

You have the right to access, rectify, or erase your data, object to processing, withdraw consent, and request data portability. You may also lodge a complaint with your local data protection authority.

We take appropriate technical and organisational measures to protect personal data against loss, misuse, or unauthorised access.
